The Most Common Second Brain Mistakes
Capturing everything, processing nothing. Volume in the inbox isn’t a second brain — it’s a more organised version of the same chaos. If your weekly review isn’t happening, your system isn’t working.
Over-building the structure before using it. Spending three weekends designing your perfect Notion architecture before you’ve tested it with real use is a trap. Start with the four databases above and customise based on actual friction points.
Too many tags. If your tag list has 200 options, tagging becomes a decision problem and you stop doing it consistently. Start with 20–30 broad tags. Add specificity only when you genuinely need it.
Using the wrong tool for each step. Notion is the storage and organisation layer. It’s not the best capture tool (too many clicks on mobile). It’s not the best reading tool (use your normal browser or reader app). Match each step to the tool that creates the least friction.
Expecting perfection. Your second brain will have gaps, inconsistencies, and notes that don’t fit the structure. That’s fine. A 70%-organised external knowledge system is orders of magnitude more useful than a perfectly organised system you never actually build.
